Handwritten task checklist beside a Mac laptop and clock

Reminders is best used for actions you want to complete, rather than information you only want to store. A few clearly named lists and selective due dates are easier to maintain than a large collection where every task looks urgent.

Start with three practical lists

Create lists such as Work, Home and Waiting For using the Add List control. A Waiting For list is useful for items that depend on another person: an invoice reply, a delivery confirmation or feedback on a draft.

Write the next action in the title. “Email the revised invoice to Sam” is easier to act on than “invoice”. Add background information in the reminder’s notes so the title stays readable.

Use a date when it changes your decision

Select a reminder and use its information controls to add a date or time. Use a timed reminder for an appointment-related action; use an undated task for work that belongs in your next planning session. A made-up deadline on every item makes the Today view harder to trust.

For example, a reminder to book a meeting room needs a deadline before the meeting. A reminder to investigate a new app may only need a place in a project list. These are planning examples, not a promise that the app schedules your work automatically.

Use Smart Lists to find tasks across lists

Built-in views such as Today and Scheduled collect reminders according to their dates. Custom Smart Lists can filter using criteria such as tags, flags and dates. Apple documents these richer features for updated iCloud reminders; availability can differ with the account used for a list.

A custom “Calls” view using a calls tag can collect call tasks from Work and Home without duplicating them. The original reminders stay associated with their lists; the Smart List gives you another view.

Organise projects without hiding the next action

Use subtasks for a short sequence and list groups for related lists. Keep the next unfinished step clear. A project with twenty subtasks but no obvious starting point still requires a planning decision from you.

Store lengthy reference material in Apple Notes and keep the action itself in Reminders. Shortcuts can also help with repeatable task entry; see our first Shortcuts workflow before building a complex automation.

If a reminder does not appear or alert

Check the selected account and list first. For cross-device iCloud use, check that the same Apple Account is signed in and Reminders is enabled in iCloud on each device. Then check the reminder’s date and time, notification permission and any active Focus.

A task visible on the Mac does not prove that another device has finished syncing it. Confirm the important reminder on the device you will actually have with you.
